Messaging Service Policy

All SMS and messaging services provided by Cams Biometrics are in strict compliance with the Telecom Regulatory Authority of India (TRAI) regulations. By using our messaging services, you agree to use them solely for lawful, professional, and institutional purposes.

Any misuse of the messaging services, including but not limited to sending promotional content or engaging in unauthorized or illegal activities, constitutes a direct violation of TRAI norms. You shall be solely responsible and liable for any legal actions or penalties imposed by regulatory or governmental authorities as a result of such misuse.

Sending SMS for promotional, marketing, or any non-educational or non-institutional purpose is expressly prohibited. Any violation of this policy may result in the immediate suspension or permanent termination of messaging services provided by us, without any prior notice.

Warranty Policy

Our biometric attendance machines are covered under a one-year limited warranty commencing from the original date of purchase. This warranty applies exclusively to manufacturing defects and malfunctions arising under normal operating conditions.

The warranty expressly excludes coverage for:

• Physical damage or breakage
• Misuse, neglect, or unauthorized modification or repair
• Accessories, cables, and other consumable items

Installation services provided by Cams Biometrics come with a seven (7) day warranty from the date of completion. Service issues reported beyond this period shall be chargeable.

Important: If a customer installs or modifies the door access control components on their own without professional support from Cams Biometrics, the product warranty shall be considered void in its entirety.

Payment Policy

Payment Requirement

All materials will be dispatched, and services will be activated only upon receipt of 100% advance payment for the respective goods or services requested. No partial fulfillment or credit terms are permitted unless expressly agreed in writing by our finance department.

Accepted Payment Methods

We accept the following modes of payment:

• Credit or Debit Cards
• Bank Transfers
• PayPal
• Check Payments (subject to successful clearance)
• Other methods as may be mutually agreed upon with our finance department

Payment Process

Customers are solely responsible for ensuring that payments are made in accordance with the mutually agreed terms and within the specified deadline. Delays in payment may lead to postponement in delivery or service activation without liability on our part.

All payments must be made in the currency stated in the official invoice issued by Cams Biometrics.

Receipt and Confirmation

Upon successful receipt of the full payment, our finance team will issue an official payment receipt or confirmation. Customers are strongly encouraged to retain this document for their records and future reference.

Dispatch and Service Enablement

Upon verification and confirmation of 100% payment receipt, we will initiate the dispatch of the purchased materials or activate the requested services as applicable.

Please be advised that the timeline for dispatch or service enablement may vary depending on the nature of the goods or services ordered, availability of stock, and operational logistics. We strive to process all orders promptly but do not guarantee specific delivery or activation timelines unless explicitly agreed upon in writing.

GST Filing Policy for Indian Customers

1. Monthly GST Filing: Goods and Services Tax (GST) will be filed within the first 9 calendar days of each month, covering all taxable transactions from the previous month.
2. B2C Filing for Missing GSTN: In the absence of a valid GSTN (Goods and Services Tax Number) at the time of Tax Invoice generation, the transaction will be reported as a Business-to-Consumer (B2C) filing.
3. No Post-Invoice GSTN Updates: Once a Tax Invoice has been generated, it is final. Requests for adding or updating the GSTN afterward are not supported and will not be entertained under any circumstances.
4. Mismatched GSTN Information: If the GSTN provided does not match the registered legal entity’s name, the corresponding GST collected will be filed under B2C classification as per regulatory compliance norms.

Customer Responsibility: Customers are solely responsible for verifying the accuracy of their GSTN and associated registered organization details prior to invoice generation. Discrepancies may result in compliance issues, for which Cams Biometrics will not be held liable.

Cancellation & Replacement Policy

All products sold by Cams Biometrics are considered non-returnable once the package is opened, except in cases involving valid manufacturing defects in biometric devices.

We strive to support our customers to the best of our ability and maintain a liberal cancellation policy. However, the following conditions apply:

• Eligibility for Cancellation: Cancellation requests must be submitted within 72 hours from the time the package or goods are received by the customer. Requests made after this period will not be considered.
• Exceptions to Cancellation: Cancellation requests will not be entertained if:
  • The order has already been processed or shipped by the vendor or merchant.
  • The product or service was offered as part of a limited-time or special occasion promotion (e.g., New Year, May Day, etc.).
  • The product or service has been activated or digitally delivered.
• Return Shipping: In the event of a replacement due to manufacturing defect, the buyer shall bear the shipping cost incurred in returning the device to our support center.
• Service Complaints: If you believe the service received is not as described on the website, you must notify our Customer Service Team within 24 hours of receiving the service. Upon receiving your complaint, our team will investigate the issue and take appropriate action based on our internal assessment.

Replacement Guarantee for Biometric Devices

At Cams Biometrics, we stand behind the quality and reliability of our biometric devices and services. If you discover a manufacturing defect in the biometric device purchased from us, we will gladly replace the device—provided the issue is reported within seven (7) days of the payment date.

We use our own products daily and are confident in their performance, which is why we offer this special replacement guarantee. Our commitment to quality and customer satisfaction drives everything we do, including our dedicated support experience.

How to Request a Replacement

To request a replacement:

• Create Ticet available on the home page appears after the successful login of our website, within seven (7) days of your purchase.
• Include your order number (which you would have received via email after your order confirmation).
• Briefly explain the nature of the defect and the reason for requesting a replacement. We value your feedback and consider it vital for continuously improving our products and services.

Important: Replacements are not applicable to services that have already been delivered in full. This includes, but is not limited to, installation services, Integration services, knowledge base hosting, and other completed digital service deliverables.

All approved replacement requests will be processed within 21 days from the date of escalation.

Renewal Policy

All licenses and services provided by Cams Biometrics must be renewed before their respective expiry dates to avoid termination of access and functionality.

Automated email reminders will be sent to the registered email address beginning 30 days prior to expiry. Please note that issues such as invalid email addresses, spam filtering, or non-delivery of these emails shall not be considered valid grounds for missed renewals. Reminder emails are provided as a courtesy, and the absence of a reminder shall not absolve the customer of their responsibility to renew on time.

Renewals must be completed on or before the expiry date. If a license is renewed after its expiry, access to biometric punch logs via API will only resume from the time of renewal going forward. Any punch data recorded between the expiry date and the date of renewal will not be accessible via API.

Should a customer require access to punch logs recorded during the inactive period prior to renewal, (re)activation charges will apply for data retrieval and re-enablement of historical access.

Renewals made in advance of the expiry date will not alter the license validity period. The new expiry date will always be calculated from the end of the current license period, regardless of when the renewal is processed.

PayPal Payments Policy

Mandatory Email Confirmation:

• Partners must confirm the transaction via the same email used for payment.
• Email must include PayPal Transaction ID and intent confirmation.

Compliance Requirement:

• We must submit proof of payer consent to PayPal to validate the transaction.

Failure to Confirm:

• If no confirmation is received within 3 days, a refund will be initiated.

Transaction Fee Responsibility:

• PayPal commissions and fees will be deducted from the refunded amount.

Partner Policy

Partner Fee Margin, Special Pricing & Ledger Adjustments

Partner Pricing:

• Special commercial rates applicable to Partners shall be defined and set solely by Cams Biometrics.
• These rates will reflect preferential pricing and will not be disclosed to end clients.

Margin Configuration:

• Partners have full discretion to set their own markup or service fee margin on top of the partner price.
• The margin amount will be recorded in their ledger as a credit entry.
• Cams Biometrics will credit 100% of the Partner-defined margin into the ledger after order confirmation.

Ledger Reimbursement:

• Ledger balances are visible to Partners and may be reimbursed or adjusted against future purchases.
• To apply a reimbursement or deduction, Partners must raise an official invoice via registered email.
• Invoice processing and tax invoice generation require a minimum of 24 hours from submission.

Technical Support Meetings

Meeting Requests:

• Must be submitted at least 24 hours in advance via email.
• Each request must include a clear and specific agenda.

Coordination & Scheduling:

• The Accounts Manager will coordinate with the technical team to schedule meetings based on availability.

Agenda Requirements:

• Nature of the issue.
• Relevant context or materials.
• Preferred time slots, if any.

Handling of Technical Queries

Primary Support Channel:

• All queries should be posted in the official technical WhatsApp group.

Escalation Protocol:

• Escalations must be sent via registered email to the Accounts Manager.
• The Accounts Manager will assess and respond to critical issues.

Meeting Scheduling Based on Priority:

• Urgent issues may be scheduled for discussion within 24 hours, based on availability.

Meeting Hours and Time Zone Consideration:

• Meetings are conducted Monday to Friday, between 10:00 AM and 6:00 PM IST.
• Partners in other time zones will be scheduled at mutually convenient times.

Client Account Registration & Billing Attribution

• Partners must create or facilitate client account creation and send details via registered email.
• Required details include client name, contact, purchased services, and applicable discounts.
• If a client contacts Cams Biometrics directly without partner referral:
  • Standard pricing will apply.
  • No partner margin or recognition will be applied.
  • The sale will be treated as direct.

Renewal Process

Renewal Reminders:

• Reminder emails begin 30 days prior to license expiry.
• Delivery issues or spam filtering do not exempt renewal responsibility.

Ledger-Based or Partner-Funded Renewals:

• Must be initiated at least 15 days before expiry.
• Payment must be verified before tax invoice generation.

Real-Time Data Push Policy:

• Data push is disabled 15 days before expiry.
• Functionality resumes automatically upon renewal.

Data Handling & API Usage

• The API transmits data directly to the Partner’s infrastructure.
• Cams Biometrics does not store or retain transmitted data.
• Partners must comply with their own regional data and business laws.

Weekend Support Policy

Standard Handling:

• No official support is provided on weekends (Saturday and Sunday).
• Requests may go unnoticed until the next business day.

Support Criteria:

• Weekend support is only offered in cases of critical business impact.

No Expedited Guarantee:

• Requests will only be expedited if actively acknowledged by the team.

Partner Responsibility:

• Partners must plan support requirements in advance to avoid weekend dependencies.

Official Communication Protocol

• All communications must be sent from the Partner’s registered email ID.
• This includes:
  • Reimbursement requests
  • Invoice submissions
  • Meeting coordination
  • Ledger-related queries
• Unregistered email communication may be ignored or delayed.
